By booking Fever Tree Wedding Films, you confirm that you are familiar with our cinematic style and trust us to shape your wedding story.

We carefully select the strongest visuals, vows, speeches, reactions and natural moments captured during the day. Not every recorded moment or guest will necessarily appear in the final film.

Your film includes one professionally licensed song from Musicbed, allowing it to be shared online.

Most couples trust us to select music that best reflects the emotion and atmosphere of their wedding. Couples who would like input may choose from an approved Musicbed collection before editing begins.

Changing the song after editing has started may require a complete re-edit and will be quoted separately.

Professional audio is recorded for selected vows, speeches and key moments used within your highlights film.

Audio quality can be affected by wind, venue acoustics, wildlife, guest noise and the venue’s sound system. We take every reasonable step to achieve clear, professional results under the conditions available.

With your permission, selected footage and still frames may be featured in our portfolio, website, social media and promotional material.

Your consent preference will be recorded separately in the booking agreement.

Your completed cinematic highlights film is normally delivered within approximately 20 working days, once full payment and any required music input have been received.

Delivery is made through a private high-resolution online link. You are responsible for downloading and safely backing up your film.

1. Agreement and Services

These terms apply to all wedding-film services provided by Fever Tree Wedding Films, referred to as “the Filmmaker”, to the person or persons named in the quotation and booking agreement, referred to as “the Client”.

The accepted quotation, selected collection, agreed additions and these terms together form the complete agreement between the Client and the Filmmaker.

The Filmmaker will provide the services and deliverables specifically listed in the accepted quotation. Anything not expressly included will be treated as an optional addition and may be quoted separately.

2. Booking and Payment

A signed agreement and a 50% advance booking payment are required to reserve the wedding date.

The date is not secured until both the signed agreement and booking payment have been received.

The booking payment forms part of the total collection price and is not an additional fee.

The remaining balance must be paid no later than five calendar days before the wedding date, unless otherwise agreed in writing.

The Filmmaker may suspend filming, editing or delivery where any payment is overdue.

Additional coverage, travel, accommodation, editing or other services must be approved in writing and may require payment before the service is provided.

3. Cancellation by the Client

All cancellations must be submitted to Fever Tree Wedding Films in writing.

The following cancellation policy will apply:

More than six calendar months before the wedding date:
The Client will receive a refund equal to 50% of the booking payment. The remaining 50% of the booking payment will be retained as a cancellation charge for reserving the date, administration, planning and work already completed.

Six calendar months or less before the wedding date:
The booking payment will be retained in full and no refund of the booking payment will be due.

Twenty calendar days or less before the wedding date:
The Client may be held liable for the full outstanding contract amount, taking into account work completed, committed expenses and the reasonable possibility of securing another booking for the date.

Any non-recoverable travel, accommodation, licence, supplier or other third-party expenses already incurred on behalf of the Client will also remain payable.

Where Fever Tree Wedding Films secures another wedding booking for the cancelled date, any cancellation charge may be reconsidered where required by applicable consumer law.

No cancellation fee will be imposed where prohibited by law, including qualifying circumstances involving death or hospitalisation.

4. Rescheduling

Requests to move the wedding date must be made in writing and are subject to the Filmmaker’s availability.

Where the Filmmaker is available, the booking payment may be transferred once to a new wedding date occurring within 12 months of the original date, unless otherwise agreed.

Prices, travel costs and collection details applicable to the new date may differ from those of the original booking.

Where the Filmmaker is unavailable for the proposed new date, the change will be treated as a cancellation by the Client.

Changes to the venue or wedding location may result in additional travel, accommodation or logistical costs.

5. Wedding-Day Coverage

The Signature Wedding Film includes up to 10 consecutive hours of wedding-day coverage by one professional wedding filmmaker.

The confirmed starting and finishing times must be agreed before the wedding.

Coverage may include:

• The venue, landscape and décor
• Bride and groom preparations
• Family and wedding-party interactions
• Selected ceremony moments
• The couple and bridal-party sessions
• Reception entrances and formalities
• Selected vows and speeches
• Cake cutting
• First and parent dances
• Bouquet or garter tosses, where included
• Guests celebrating on the dance floor

The Filmmaker records throughout the day to gather the material required to create the final cinematic story. This does not mean that every recorded moment will appear in the completed film.

Coverage does not automatically extend because the wedding is running behind schedule. Additional hours are subject to availability and will be charged at the rate stated in the current quotation or price list.

The Filmmaker may take reasonable meal and equipment-management breaks when no key events are scheduled.

6. Final Film and Deliverables

The primary deliverable is one carefully crafted 4–6 minute cinematic highlights film.

The film is an edited interpretation of the wedding day rather than a chronological recording of every event.

The final film will be created from selected visuals, vows, speeches, reactions, natural moments and ambient sound captured throughout the day.

Full-length ceremony films, speech films, reception formalities, raw footage and alternative edits are not included unless specifically listed in the accepted quotation.

The final film length is approximate and may vary slightly where the Filmmaker believes this better serves the story.

7. Creative Discretion

By booking Fever Tree Wedding Films, the Client confirms that they have reviewed the Filmmaker’s previous work and understand the general visual and storytelling style.

The Filmmaker retains creative discretion over:

• Shot selection
• Story structure
• Editing pace
• Colour grading
• Sound design
• Music placement
• The selection of vows and speeches
• The inclusion or exclusion of recorded footage

The Filmmaker will honour the agreed deliverables but cannot guarantee that every guest, detail, interaction or requested shot will appear in the final film.

Moments that occur simultaneously, unexpectedly, outside the agreed coverage period or while access is restricted may not be captured.

8. Professional Audio

Professional audio equipment will be used for selected vows, speeches and other important moments where practical.

Audio quality may be affected by wind, venue acoustics, guest noise, wildlife, electrical interference, the venue’s sound system, restrictions imposed by the officiant or unexpected technical conditions.

The Filmmaker will take reasonable steps to obtain usable audio but cannot guarantee perfect recording conditions where circumstances are outside the Filmmaker’s control.

9. Music Licensing

The Signature Wedding Film includes one professionally licensed song from Musicbed.

Most couples trust the Filmmaker to select music that complements the atmosphere, emotion and pacing of the wedding film.

Where the Client would like input, music must be selected from an approved Musicbed collection before editing begins. Song availability and licensing remain subject to Musicbed’s terms.

A requested song cannot be used unless an appropriate licence is legally available.

Changing the song after editing has started may require a complete re-edit and will be quoted separately.

Although licensed music is used, automated copyright claims may occasionally be issued by online platforms. The Filmmaker will provide reasonable assistance with clearing a valid claim but cannot control the systems or policies of third-party platforms.

10. Drone Footage

Drone footage will be captured only where legally permitted and where weather, safety, airspace, venue, reserve and wildlife conditions allow.

Drone use remains entirely at the Filmmaker’s discretion on the wedding day.

Drone footage cannot be guaranteed and its unavailability will not result in a price reduction unless drone coverage was separately purchased as a specifically priced service.

11. Venue Permissions and Restrictions

The Client is responsible for confirming that professional filming is permitted at the ceremony, reception and other locations.

The Client must disclose any venue rules, conservation requirements, access restrictions, permit requirements, gate times or additional filming charges before the wedding.

The Client is responsible for venue, location, conservation, parking and permit fees unless the quotation states otherwise.

The Filmmaker is not responsible for footage missed because of restrictions imposed by the venue, officiant, photographer, coordinator, security personnel, reserve management, government authorities or other third parties.

12. Travel and Accommodation

Travel is included for most wedding venues in and around Nelspruit and Hoedspruit.

Once the venue and wedding schedule have been confirmed, the Filmmaker will advise whether additional travel, accommodation, transfers, conservation fees or other logistical expenses apply.

Where additional travel is required, costs are calculated according to the actual expenses involved rather than standard AA rates.

Accommodation may be required where distance, venue access, reserve gate times, road conditions or the wedding finishing time make safe return travel impractical.

Changes to the venue or schedule after booking may result in revised travel and accommodation costs.

13. Client Responsibilities

The Client must provide the Filmmaker with the confirmed wedding timeline, venue details and relevant supplier contact information before the wedding.

The Client must ensure that the Filmmaker has reasonable access to the ceremony and reception locations, secure parking and sufficient time to prepare equipment.

For extended wedding-day coverage, the Client or venue must provide the Filmmaker with a suitable meal and non-alcoholic refreshments.

The Client is responsible for informing guests and participants that professional filming will take place.

The Client must notify the Filmmaker in advance of any specific privacy restrictions involving guests, children or vulnerable persons.

14. Safety and Conduct

The Filmmaker is not required to work in conditions considered unsafe, unlawful, abusive or likely to damage equipment or endanger any person.

This includes unsafe wildlife activity, dangerous weather, intoxicated or threatening behaviour, unlawful drone requests, unsafe transport, harassment and disregard of venue or reserve safety rules.

The Filmmaker may pause, relocate or end coverage where safety is compromised.

Where filming is prevented or terminated because of the conduct of the Client, guests, venue or other persons under the Client’s control, no refund will be due for services already performed or time reserved.

15. Editing and Delivery

The completed highlights film will normally be delivered within approximately 20 working days after the wedding, or sooner where possible.

The delivery period begins once the Filmmaker has received:

• Full payment
• Any required music input
• The information necessary to complete the edit

Delivery will be made through a private high-resolution digital link or another agreed online method.

Delivery times may be extended by circumstances outside the Filmmaker’s reasonable control. The Client will be informed of any material delay.

The Client is responsible for downloading and safely backing up the final film. Online delivery links are not intended to provide permanent storage.

16. Changes and Re-Edits

One request containing minor corrections may be submitted within five calendar days after delivery.

Minor corrections include genuine technical errors, incorrect spelling or the correction of information supplied to the Filmmaker before editing.

The following are not considered minor corrections:

• Changing the licensed song
• Requesting a different editing style
• Replacing large sections of the film
• Adding footage that was not part of the agreed deliverable
• Creating a longer or alternative version
• Changing the story structure
• Requests based solely on a change in personal preference

Additional editing or requests received after the correction period may be quoted separately.

Nothing in this section limits any rights the Client may have under applicable consumer law.

17. Raw Footage and Project Files

Raw footage, original audio recordings, editing timelines, project files and unused material are not included in the collection.

These remain under the control of the Filmmaker and will not be supplied unless agreed and quoted separately in writing.

The Filmmaker may retain raw footage and project files for up to 90 days after final delivery, after which they may be permanently deleted without notice.

The future availability of raw footage or alternative edits cannot be guaranteed.

18. Copyright and Client Usage

Unless otherwise agreed in writing, the Filmmaker retains copyright and ownership of:

• Recorded footage
• Audio recordings
• The completed film
• Editing projects
• Alternative edits
• Promotional extracts

The Client receives a personal, non-exclusive licence to download, store and share the completed wedding film for private and non-commercial purposes.

The Client may share the film on personal websites and social-media accounts.

The Client may not sell, commercially license, materially re-edit or use the film in paid advertising without written permission from the Filmmaker.

Music and other third-party material remain subject to the rights and licence conditions of their respective owners.

19. Portfolio and Promotional Consent

The Client’s consent for portfolio and promotional use must be recorded separately in the booking agreement.

Where consent is granted, the Filmmaker may use selected footage, audio, names and still frames for:

• Websites and portfolios
• Social media
• Showreels
• Advertising
• Wedding publications
• Industry awards
• Educational or promotional presentations

Where the Client does not grant promotional consent, the wedding film will remain private, subject to any legal or operational requirements.

Any withdrawal of previously granted consent will apply prospectively where reasonably practicable and cannot necessarily reverse material already lawfully printed, published or distributed.

20. Personal Information

The Filmmaker may collect and process personal information required to manage the enquiry, booking, wedding-day arrangements, payment, editing and delivery.

Information may be shared with employees, subcontractors, payment providers, delivery platforms and service providers only where reasonably necessary to fulfil the booking or comply with legal obligations.

Reasonable organisational and technical measures will be used to protect personal information.

The Client must ensure that information supplied to the Filmmaker is accurate and that they have authority to provide any third-party information included in the booking.

21. Equipment Failure, Data Loss and Liability

The Filmmaker will use professional equipment and take reasonable precautions to protect recorded material, including appropriate backup procedures where practical.

Wedding filming nevertheless involves technology and circumstances in which equipment malfunction, media corruption, accidental loss or other unexpected failure may occur.

If the Filmmaker is unable to deliver the entire agreed film because of a failure attributable to the Filmmaker, the Client’s remedy will, to the extent permitted by law, be limited to a refund of the amounts paid for the affected service.

Where only part of the material is affected, the Filmmaker may provide an appropriate partial refund, alternative edit or other reasonable remedy.

To the extent permitted by law, the Filmmaker will not be liable for indirect, consequential or emotional loss exceeding the amount paid under the agreement.

Nothing in these terms excludes liability that cannot legally be excluded, including liability arising from gross negligence or intentional misconduct.

22. Illness, Substitution and Force Majeure

Where the assigned filmmaker becomes unavailable because of illness, injury or another serious unforeseen circumstance, Fever Tree Wedding Films may appoint a suitably experienced replacement filmmaker.

Where no suitable replacement can be arranged, the parties may agree to reschedule the service or the Client will receive a refund for services that cannot be performed.

Neither party will be liable for failure or delay caused by circumstances beyond reasonable control, including:

• Natural disasters
• Severe weather
• Flooding or impassable roads
• Fire
• Civil unrest
• Government restrictions
• Venue closure
• Serious illness or injury
• Transport disruption
• Power or communications failure
• Dangerous wildlife conditions
• Other force-majeure events

The parties will make reasonable efforts to reschedule or agree on a practical alternative.

23. Complaints and Disputes

Any concern regarding the service should first be submitted to the Filmmaker in writing, allowing a reasonable opportunity to investigate and respond.

The parties will attempt to resolve disputes through good-faith negotiation before beginning formal proceedings.

These terms are governed by the laws of the Republic of South Africa.

Any unresolved dispute may be referred to mediation or a court with appropriate jurisdiction.

24. General Provisions

No amendment to the agreement will be valid unless recorded in writing and accepted by both parties.

If one provision is found to be invalid or unenforceable, the remaining provisions will continue to apply.

A failure by either party to enforce a term immediately does not mean that the term has been waived.

Electronic signatures, email acceptance and digitally signed agreements will be treated as valid written acceptance.

The signed agreement, accepted quotation and these terms represent the entire agreement between the Client and the Filmmaker.
